Okapi Wanderers RFC provides online information and services related to rugby programs, memberships, player registration, camps, clinics, events, competitions, merchandise, communications, and other Club activities.

Okapi provides programs and activities that may involve individuals under the age of 18.
A parent or legal guardian should complete or authorize registrations, waivers, payments, and other required documentation for minor participants where applicable.
Minors should not independently create accounts, make purchases, or submit personal information without appropriate parental or guardian involvement where required.
The Club may establish additional safeguarding, communications, conduct, and registration requirements for youth participants.

5. Memberships, Registration Fees, and Payments
Certain Club memberships, programs, camps, events, merchandise, or services require payment.
Prices and applicable fees will generally be displayed during registration or purchase.
Payments may be processed using third-party payment providers. Okapi may not directly receive or store complete payment-card or banking information processed through those providers.
By submitting payment information, you authorize the applicable payment provider and the Club to process charges associated with your purchase or registration.

6. Refunds and Cancellations
Membership fees, registration fees, event fees, camp fees, merchandise purchases, and other payments may be subject to separate refund or cancellation policies.
Unless otherwise expressly stated at the time of purchase or registration, payments may be non-refundable after costs have been incurred, participation has begun, a roster position has been reserved, merchandise has been ordered, or other Club commitments have been made.
The Club may issue refunds, credits, transfers, or other accommodations at its discretion or where required by applicable law.
Specific refund terms provided during registration or purchase will control where they differ from this general provision.

7. Cancellation or Suspension of Programs
Okapi may cancel, postpone, relocate, modify, or reschedule practices, matches, tournaments, camps, clinics, or other Club events because of:
- Weather;
- Field availability;
- Safety concerns;
- League or governing-body decisions;
- Facility issues;
- Low participation;
- Emergencies;
- Events outside the Club's reasonable control.
Where appropriate, the Club will communicate available options regarding rescheduling, credits, or refunds.

8. Privacy and Personal Information
The collection and use of personal information through the website and Club services are governed by the Okapi Wanderers Rugby Football Club Inc. Privacy Policy.
Information may be collected and processed to administer registrations, memberships, payments, communications, competitions, events, safety procedures, and other Club operations.
Third-party providers may process information on behalf of the Club.

9. User-Submitted Content
Users may be permitted to submit photographs, videos, messages, comments, documents, or other material (“User Content”).
You are responsible for User Content you submit.
You may not submit content that:

Okapi may remove or restrict access to User Content when reasonably necessary.

10. Photographs and Videos
The Club may photograph or record Club activities, matches, practices, camps, clinics, events, awards, and community activities.
Use of photographs or videos involving participants will be subject to applicable Club consent procedures, safeguarding requirements, registration terms, and applicable law.
Users submitting photographs or videos to the Club confirm that they have the authority or appropriate permission to provide that material.

11. Intellectual Property
Unless otherwise stated, Club names, logos, graphics, photographs, videos, website content, designs, text, trademarks, and other materials owned by Okapi Wanderers RFC remain the property of the Club or their respective licensors.
Users may access website materials for personal, non-commercial purposes.
Without prior written permission, users may not:
- Copy or commercially reproduce Club materials;
- Sell or redistribute Club content;
- Use Club trademarks or logos commercially;
- Create unauthorized merchandise using Club intellectual property;

Members, players, coaches, parents, volunteers, and other Club participants may also be subject to the Okapi Wanderers RFC Social Media Policy, Codes of Conduct, safeguarding requirements, disciplinary procedures, and other Club policies.
Conduct occurring online may result in Club disciplinary action where it materially affects the Club, its members, participants, reputation, or activities.
16. Suspension and Termination
Okapi may suspend, restrict, or terminate access to an account or Club service where reasonably necessary because of:
- Violation of these Terms;
- Nonpayment;
- Fraudulent activity;
- Security concerns;
- Abuse or harassment;
- Violation of Club policies;
- Conduct threatening the safety of others;
- Legal or regulatory requirements.
Termination of online access does not automatically eliminate payment obligations or other responsibilities incurred before termination.

17. Website Availability
We aim to maintain reliable access to our website and digital services but cannot guarantee that services will always be:
- Available;
- Uninterrupted;
- Error-free;
- Secure;
- Compatible with every device;
- Free from technical issues.

23. No Waiver
Failure by the Club to enforce any provision of these Terms does not waive the Club's right to enforce that provision later.

24. Entire Agreement
These Terms, together with applicable registration agreements, waivers, privacy policies, Codes of Conduct, Social Media Policies, and other Club policies expressly incorporated into a particular program or transaction, constitute the applicable agreement between the user and the Club regarding use of those services.

25. Changes to These Terms
Okapi may update these Terms periodically to reflect changes in:
- Club operations;

- Payment systems;
- Registration procedures;
- Applicable laws;
- Technology;
- Club policies.
The latest version will be posted on the Club website with its effective date.
